A successful pickup starts with an agreement between you, the person holding the item and the person collecting it. Before booking a visit, confirm exactly what is being collected, when it can be released and what should happen afterwards.

1 Prepare one clear collection brief

Send the exact address, ideally in Chinese, the business or venue name, a contact person and their phone number or WeChat. Add the opening hours, preferred collection window and your deadline with its time zone. Confirm the floor, entrance and any appointment requirement if the address is difficult to find.

Describe each item, quantity and identifying details. Include a product link, order reference or photograph where useful. State whether it is already paid for, ready to collect and packed. For a new purchase, specify the exact model, size or colour and whether any substitution is acceptable.

2 Confirm permission and payment arrangements

Ask the holder whether someone may collect on your behalf and what proof or authorisation is needed. Arrange for the collector's name to be shared before the visit. If payment remains due, agree who will pay, the approved amount and the available method before dispatching anyone.

Where practical, paying the seller directly keeps the purchase separate from the helper's service fee. Do not assume a helper can advance money or use a particular payment method. Ask what happens if the seller changes the price or the item is unavailable.

3 Decide what the collector should check

A basic checklist might cover the number of packages, visible damage, the model label and requested photos. Specify whether the package may be opened and whether the seller permits photography. Agree a stop-and-contact-you instruction if the visible item differs from your brief.

Photos and visual observations can record what was present at collection. They do not by themselves establish authenticity, technical performance or compliance with a product specification. Request any specialist inspection separately.

4 Plan the next destination

Decide whether the item will go to a local address, be handed to someone you name or be prepared for onward shipping. Confirm who will pack it, who will book transport and what receipt or tracking information you expect. Do not assume storage is included.

For international shipping, check carrier acceptance before collecting an item that may be difficult to send. Describe batteries or liquids accurately and provide the destination country. General DHL and FedEx guidance explains why item-specific checks matter, but the carrier must confirm the actual China-origin shipment. [1] [2]

5 Compare the full quote

Ask the quote to separate the service fee, item purchase, transport, packing, shipping and third-party charges. Agree how extra waiting time or a second visit would be handled. If the plan changes, request a revised scope and price before further paid work.

China Task Desk's trial Shanghai pickup or purchase assistance starts at US$60 for one location and up to 2 hours of staff time. Staff time includes preparation, communication, travel, on-site work and reporting. Purchases and other expenses are additional. Longer, more complex and out-of-Shanghai tasks are quoted individually; an enquiry does not reserve a same-day visit.
