If you have already left China, start by contacting the hotel and confirming that it has found your item. You may be able to arrange a return directly. If the hotel cannot coordinate everything, a local helper may be able to handle agreed collection and shipping tasks.

1 Confirm the item and the person holding it

Use the hotel contact details from your booking or its official website. Share your booking name, stay dates, the last place you saw the item and a clear description. A photo or identifying detail can help the hotel distinguish it from similar belongings.

Ask for written confirmation that the item has been found and where it is being held. Confirm the person or department responsible, collection hours, any storage deadline and any charge. Avoid sending someone to collect an item before these details are clear.

2 Ask about direct return before arranging a pickup

Ask whether the hotel can pack and send the item, or hand it to a courier you arrange. Confirm which tasks the hotel will handle and which it expects you to organise. This may avoid the cost of a separate collection visit.

If a helper is needed, ask the hotel what it requires to release the item to that person. It may ask for written authorisation, a reference number or proof of ownership. Agree the helper's identity and collection date with the hotel. Provide only the personal information actually required through an agreed private channel.

3 Check shipping feasibility before paying for collection

Give the proposed carrier an accurate item description, destination, approximate dimensions and weight. Identify batteries, liquids or other contents that could affect acceptance. A phone, laptop or power bank should not be treated as an ordinary clothing parcel.

Carrier requirements differ by item, service and destination. DHL advises checking restricted items with local customer service, and FedEx publishes separate battery guidance. These general guides do not establish whether a shipment from China will be accepted. Confirm the specific route with the carrier before booking. [1] [2]

4 Agree the full scope and cost

Ask for the service fee to be separated from travel, packing, shipping and other third-party costs. Confirm what happens if the holder cannot release the item, the visit cannot proceed or the carrier declines it. Any storage or alternative handover should be agreed in advance.

For China Task Desk, initial remote coordination starts at US$25 for one clear matter and up to 45 minutes of staff time. Shanghai pickup assistance starts at US$60 for one location and up to 2 hours. These are trial service starting fees, not an all-inclusive recovery and international delivery price. We confirm which stages your quote includes before paid work begins.

5 Keep a record of the handover

Agree which photos and records you need: the item collected, its visible condition, the package before handover and the courier receipt or tracking reference. Collection, dispatch and delivery are separate milestones. A collection photo does not confirm that the parcel has been delivered.

A message you can send to the hotel

Hello, I stayed at [hotel name] under [booking name] from [dates]. I may have left [item description] in [location]. Could you please check whether it has been found? If so, please confirm where it is held, the collection deadline, any charges, and whether you can arrange shipping or release it to a person I authorise. Thank you.

When to ask China Task Desk for help

If you need someone to communicate with the hotel or coordinate an authorised collection, send us the city, hotel details, item description, any reply already received and destination country. Our Shanghai team welcomes enquiries across mainland China and confirms local availability before accepting a task.

Enquiries are free. Purchases, transport, accommodation, packing, shipping and third-party charges are additional. Staff time includes preparation, communication, travel, on-site work and reporting; it is not a delivery-time guarantee.
